Creating and sending invoices
Build one-time or recurring invoices with line items, review the email, and send - clients pay online from the link.
Invoices are money in - what you charge clients. (Money you owe vendors is recorded separately as Bills - see Recording an expense.) Create them from Finances → Invoices, from the + button located in the bottom right of screen, or anywhere you see an add-charge action.
To create an invoice
- Open Create New Invoice and choose the client. The sheet shows whether they have auto-pay enabled, pay manually, or still need a payment method.
- Set the invoice date, terms (Due on receipt through Net 60), and due date.
- Add line items - each with an optional horse, a category (Boarding Fees, Farrier Services, Riding Lessons, and more), description, quantity, and rate.
- Decide who pays the processing fee with the Client covers processing fees toggle. If you select the option to have your client cover the processing fees, the fee amount will be added to the total invoice.
- Select Review & Send to preview the exact email your client receives - subject, message, line items, and a View & Pay Invoice button - then Send Invoice. Or use Save as Draft to finish later.
Recurring invoices
Turn on the Recurring Invoice toggle for repeat billing like monthly board: choose weekly, biweekly, monthly, quarterly, or annual frequency and the billing day, optionally prorate the first charge to align with the cycle, and enable Auto-send invoices so each cycle’s invoice emails automatically.
