Recording an expense

Money out is separate from invoices: facilities record vendor Bills, and owners log personal expenses.

Don’t confuse expenses with invoices: an invoice is money coming in from a client; an expense or bill is money going out. Stables tracks money out in two places depending on who you are.

Facilities and providers: recording a Bill

  1. Go to Finances → Bills and select Add Bill.
  2. Choose the payee — one of your providers, an existing payee, or a name you enter manually.
  3. Enter the bill number, bill date, and due date, then add line items with a category, description, amount, and optional horse.
  4. Optionally attach the vendor’s invoice or receipt (PDF or image, up to 10 MB) and an internal memo, then select Add Bill.

Horse owners: logging an expense

In your Billing tab, select Log Expense: date, category, amount, optional horse, and an optional receipt upload. This is your personal record-keeping — nothing is sent or charged.
