Move-out and settlement: how deposits are applied or returned
When a horse moves out, the facility settles the account — the deposit is returned, applied to what’s owed, or both, with a full statement.
When a horse moves out, the facility settles the account through a three-step move-out flow: Confirm, Charges, and Review. This is the point where the deposit is either returned, applied to anything still owed, or a combination of both. Nothing is charged or refunded until the final step.
What happens at settlement
- Every open charge is reviewed. For each one, the facility chooses Apply (drawn from the deposit), Leave open (still owed — collected separately), or Waive (forgiven — no longer owed). Move-out charges like damage or cleaning can be added and are applied against the deposit.
- If the board bill was paid ahead, unused days can be credited back — the facility can prorate board so only the days actually used are kept. This board credit is separate from the deposit.
- Whatever remains of the deposit after applied charges is refunded. If charges exceed the deposit, the difference is sent to you as a separate invoice instead.
How your refund reaches you
At settlement the facility chooses a refund method for each amount owed to you — the deposit refund and any board credit each have their own:
- Original payment method — refunded automatically through Stables, typically within 5–10 business days. Available when the deposit was paid online.
- Check or cash — handed to you directly by the facility and recorded in Stables with a reference. Deposits that were collected outside Stables are always returned this way.
You’ll receive a settlement statement itemizing every charge (including anything left open or waived), the deposit held, what was applied, and what’s being refunded — and by which method. Anything handled outside Stables is noted separately from what Stables processed.
What you’ll see in your account
- If open invoices were folded into the settlement, they show as “Voided — consolidated into move-out balance,” with a link to the move-out invoice.
- Refunds appear on the invoice history: an online refund shows “Refunded to original payment method,” and a check or cash refund shows as an offline credit with its method and reference.
