Billing pending charges all at once

Put everything a client owes on one invoice with a single click, or have Stables invoice every client’s pending charges on the 1st of each month.

Charges you add for a client - an extra feeding, a blanket change, a farrier visit - wait on Pending Charges until they’re billed. You don’t have to build an invoice line by line to bill them.

Invoice everything a client owes

  1. Open the client under Clients, then Billing & payments → Pending charges. In the app, it’s the client’s Billing tab.
  2. Select Invoice all pending (Invoice All in the app). You’ll see how many charges there are and what they come to.
  3. Select Send invoice to email it now, or Save as draft to look it over first on Invoices.
  • Charges already set to go on the client’s recurring invoice stay there.
  • A client with no email on file still gets the invoice, just not by email. Use Apply Payment on the invoice when they pay you.

Put them on the next recurring invoice

If the client has a recurring charge, Add all to next invoice moves every waiting charge onto it, so they’re billed together with the recurring charge. If a charge can’t go on it, it stays on Pending Charges and you’ll see why.

Invoice pending charges automatically each month

  1. Go to Facility Settings → Payments & Payouts → Payment Settings.
  2. On the Monthly Invoicing card, turn on Invoice pending charges on the 1st of each month.
  3. Choose whether to Send them automatically. With it off, the invoices are saved as drafts on Invoices for you to look over and send.
  4. Select Save Payment Settings.

What happens on the 1st:

  • Each client’s pending charges from before the 1st, in your time zone, go on one invoice. Charges dated the 1st or later wait for the next month.
  • Charges already set to go on a client’s recurring invoice are billed there, not on the monthly invoice.
  • You get a notification and an email saying how many invoices went out, what they came to, and any client who couldn’t be invoiced and why. Their charges stay on Pending Charges, so you can fix what’s needed and use Invoice all pending.

Who can turn it on

Monthly invoicing sends invoices for your barn, so changing it takes permission to manage invoices. Other staff see the setting but can’t change it.

Frequently Asked Questions

Will a client get two invoices on the 1st?
Only if they also have a recurring charge billed that day: charges set to go on the recurring invoice are billed there, and the monthly invoice takes the rest. Use Add all to next invoice to put them together.
Why wasn’t one of my clients invoiced?
The email you get after the run says why. Most often the client has no email on file and your barn doesn’t take offline payment, so there was no way for them to pay. Their charges are still on Pending Charges.
