Inviting people to your facility

Invite staff, horse owners, and service providers to your facility - each gets an email link that connects them automatically.

Everyone you invite receives an email link. When they accept, their account is connected to your facility automatically - you don’t need to configure anything else.

Inviting staff

  1. Go to Settings → Staff and select Add Staff.
  2. Enter their name and email, and choose a role: Barn Hand (view only), Trainer, Riding Instructor, Facility Manager (full management access), or Facility Owner (full admin access). You can fine-tune individual permissions with overrides.
  3. Select Add Staff Member. They’ll show as “Invited” until they accept.

More on roles and overrides: Staff and permissions.

Inviting horse owners (clients)

  • A new client: in the Clients tab, select Add Client, enter their details including an email, and leave the invite box ticked (“Invite client to view invoices, enable autopay, and receive updates”).
  • An existing client: open the row’s actions menu in the Clients tab and select Send Invite (Resend Invite if one is already pending). Invites go one client at a time, and the client needs an email on file - add one with Edit client first if the option is missing.

You’ll be notified when they accept so you can assign their stall and add charges. The invite tells them what they’ll get: their horses’ care schedules, online billing and payments, and direct communication with your facility.

Inviting service providers

When you add a provider (farrier, vet, trainer…), enter their business name, contact name, email, and provider type, and choose the billing setup: Provider bills directly (they send invoices to horse owners themselves) or Facility manages billing (your facility handles invoicing for their services). The invitation lets them connect their own account to receive payments directly.

Frequently Asked Questions

What happens if an invite expires?
Invitation links can expire or be used only once. If someone sees an “invalid or expired” message, send them a fresh invitation.
