Adding and managing horses
Add horses one at a time or in bulk, keep their details current, and manage their status from the Horses tab.
Your facility’s horses live in the Horses tab. The list shows every horse with its owner, start date, stall, boarding fees, next charge, open balance, and status, and you can search or filter by status (Active, Pending Move-in, Pending Move-out, Inactive).
Adding a horse
- Select Add Horse to start the guided add flow. It walks through owner information, horse information, stall and boarding details, billing setup, and a final review - so the horse, its owner, and billing are set up together.
- Use Bulk Upload to import many horses at once from a spreadsheet.
- You can also add a horse from an existing client’s record - the horse is linked to that client automatically. See Linking horses to owners.
Barn horses
A horse the barn owns, such as a school or lesson horse, is a Barn Horse: choose it (“The barn owns this horse”) when you add the horse. A barn horse has no client and nothing is billed for its board.
Changing who owns a horse
Open the horse’s actions menu and choose Change Ownership. It changes the owner on the same record, so the horse’s health, care and training history stay with it. The barn’s owner, and staff who can manage horses, can do this.
- A client’s horse becomes a barn horse: it comes off the client and its recurring charges stop. Use this for a horse that was added under a client, or under yourself, before it should have been a barn horse.
- A barn horse goes to a client: pick the client. If they have a Stables account, the horse appears on it with its history. Set up their board from the stall.
Horses on a client’s own account
If the horse is on a client’s own Stables account, only they can hand it over, so the barn can’t make it a barn horse. If they agree, contact support@stables.co. A horse with a security deposit on file needs Move Out first.
Managing a horse
Each horse row has an actions menu with day-to-day operations: add a charge, receive a payment, add or complete care, move stalls, message the owner or staff, and edit the horse’s details. Move-in and move-out actions appear based on the horse’s current status.
Deactivating vs. deleting
Moving a horse out sets it to Inactive - its history stays with your facility and you can find it under the Inactive filter. Delete permanently removes the horse and cannot be undone.
